About the Invoice Generator

A clear, professional invoice makes it easier to get paid on time. This free invoice generator lets you fill in your business details, your client's details, an invoice number, issue and due dates, line items, a tax rate and payment notes, then watch a live preview update as you type and download the finished invoice as a PDF.

Built for freelancers and small businesses. The invoice number is pre-filled (INV- followed by six digits) and the due date defaults to 14 days after today; both are editable. Add as many line items as you need, each with a description, quantity and price, and remove any with the trash icon. A line with a negative price works as a discount or credit.

How the totals work. Each line total is quantity times price, and the subtotal is the sum of all lines. One tax percentage (0-100%) is applied to the whole subtotal, and the total is subtotal plus tax. The tax line only appears on the invoice when the rate is above zero. Amounts are shown in US dollars.

Example. Bill a client for 10 hours of consulting at $125 plus a $300 setup fee and the subtotal is $1,550. Enter 8% in the Tax % field and the tool adds $124, for a total of $1,674. Click Download PDF and the file is saved with your invoice number as its name, for example INV-482913.pdf.

Made in your browser. The preview and the PDF are generated in your browser, so the invoice doesn't need to be uploaded to create the file. The optional "Review this invoice with AI" button sends only the line items, tax rate, dates and totals for feedback (not your From or Bill to details) and uses one AI run. Check which sales tax, if any, applies to your services; the tool doesn't decide that for you.

How to use it

  1. Set the invoice number and tax rate. Keep the auto-generated invoice number or type your own, and enter a tax percentage if you charge one.
  2. Choose the issue and due dates. Pick the invoice date and the due date, which defaults to 14 days out.
  3. Fill in From and Bill to. Enter your business name and address, then your client's details.
  4. Add notes and line items. Write payment instructions in Notes, then click Add for each item and enter its description, quantity and price.
  5. Click Download PDF. Check the live preview and save the invoice as a PDF named after the invoice number.
  6. Review with AI (optional). Click "Review this invoice with AI" for feedback on your line items, dates and totals.

Frequently asked questions

How does the invoice generator calculate tax on an invoice?

It applies a single tax percentage to the subtotal of all line items and adds the result to get the total; the rate is limited to 0-100%. If different items need different rates or you must show several taxes, work those out separately, because this tool supports one rate per invoice.

Can I add a discount or credit line in the invoice generator?

Yes. Add a line item with a negative price, such as -100 for "Returning client discount," and it reduces the subtotal before tax is applied.

Can I change the currency in the invoice generator?

Not at the moment. Prices and totals are formatted in US dollars in both the preview and the PDF, so if you bill in another currency, state the currency clearly in the Notes field or use a tool that supports it.

What due date should I put on an invoice from the invoice generator?

The tool defaults to 14 days after today, and many freelancers use 14 or 30 days. Whatever you choose, state it clearly with your accepted payment methods in Notes, and agree on terms with the client before you start the work.

What does the AI review in the invoice generator look at?

It receives your line items (up to 20, with descriptions shortened to 80 characters), the number of items, the tax rate, the issue and due dates, and the calculated totals. Your From and Bill to details and notes are not sent. It returns a plain-English explanation with tips and does not change the invoice for you.

Does the invoice generator keep a history or number invoices in sequence?

No. It doesn't store past invoices, and the default number is INV- plus six digits taken from the current time. Keep your downloaded PDFs, and if you want sequential numbers such as INV-0001, type them in yourself.
